4. Our Lawful Bases
Under UK data protection law, we need a lawful reason to use your personal information.
Depending on the circumstances, we may rely on:
Consent — where you have actively agreed to something, such as receiving marketing communications, allowing non-essential cookies, or allowing behavioural analytics and session recording.
Legitimate interests — where using your information is reasonably necessary for operating, understanding, protecting or improving our business and does not override your rights and interests.
Contract — where processing is necessary to take steps at your request before entering into a contract or, once we begin selling, to fulfil a contract with you.
Legal obligation — where we need to process information to comply with the law.
We rely on your consent for all non-essential cookies, for behavioural analytics and session recording, and for advertising and marketing technologies. Where we rely on consent, you can withdraw that consent at any time, and doing so is as easy as giving it.
5. Marketing Communications
If you sign up for Ancient Fields emails, early access or other marketing communications, we may contact you with things such as:
- Launch news
- New products
- Ancient Fields updates
- Offers and promotions
- Nutrition, ingredient and wellbeing content
You can unsubscribe at any time by clicking the unsubscribe link in any marketing email or contacting us at support@ancientfields.com.
Withdrawing your marketing consent will not affect any other communications we need to send for another legitimate reason.
6. Cookies and Similar Technologies
Our website uses cookies and similar technologies.
We use Pandectes GDPR Compliance to help us manage cookie consent and privacy choices on our Shopify website.
Non-essential cookies are grouped into three categories — functional, performance, and targeting and advertising — which you can allow or refuse independently in our consent preferences window. Depending on your choices, cookies and similar technologies may be used to:
- Make the website function correctly
- Keep the website secure
- Remember your preferences
- Understand how visitors use our website, including through session recordings and heatmaps
- Measure website and marketing performance
- Support advertising and marketing activities
Non-essential cookies will not be used until you have given permission for the relevant category.
You can review or change your choices at any time by clicking the cookie icon displayed in the corner of our website.
For more information, please read our Cookie Policy.
7. Behavioural Analytics and Session Recording
Where you have allowed performance cookies, we use Microsoft Clarity, a behavioural analytics service provided by Microsoft Corporation, to understand how visitors use Ancient Fields.
Clarity records how visitors interact with our website and presents this back to us as session recordings, heatmaps and conversion funnels. This may include mouse movements, scrolling, clicks and taps, the pages you viewed, your device and browser details, and approximate location derived from your IP address.
Clarity is configured to mask text entered into form fields, so information you type — such as your name, address, email address or payment details — is not recorded in session replays. We do not use Clarity to identify you personally, and we do not attempt to re-identify visitors from Clarity data.
Clarity operates on two separate consent signals, which our consent management platform sets according to the categories you allow:
- If you allow performance cookies, Clarity records your session and produces analytics for us.
- If you allow targeting and advertising cookies, information collected through Clarity may also be shared with Microsoft Advertising and used for advertising purposes, such as retargeting and conversion measurement.
These are independent choices. If you refuse performance cookies, Clarity sets no cookies, deletes any Clarity cookies already on your device, and does not create session recordings.
Microsoft acts as a separate data controller for the information it collects through Clarity and processes it in accordance with the Microsoft Privacy Statement, available at https://privacy.microsoft.com/privacystatement.
Microsoft's published retention periods for Clarity data are 30 days for session recordings and 9 months for heatmaps and aggregated click data, after which the data is permanently deleted.
8. Who We Share Your Information With
We may share personal information with trusted organisations that help us operate Ancient Fields.
These may include providers of:
- Website and ecommerce technology
- Website hosting
- Email and marketing services
- Analytics and behavioural analytics services
- Advertising and marketing technology
- Cookie consent and privacy management
- IT, security and technical services
- Professional services such as legal and accounting support
Our website is built using Shopify, we use Pandectes GDPR Compliance to help manage website privacy and cookie consent, and we use Microsoft Clarity for behavioural analytics.
Most of these organisations act as our processors and handle personal information on our instructions. Microsoft acts as a separate controller in relation to data collected through Clarity, as described in Section 7.
We only share information where reasonably necessary and expect the organisations we work with to handle personal information appropriately.
We may also disclose information where required by law, regulation, court order or another lawful request from a competent authority.
We do not sell your personal information.
9. International Data Transfers
Some of the companies that provide services to us may process or store personal information outside the United Kingdom, including in the United States. This includes Microsoft, in connection with Microsoft Clarity.
Where personal information is transferred internationally, we take appropriate steps to ensure that it receives protection in accordance with applicable UK data protection law.
This may include relying on recognised adequacy regulations — such as the UK Extension to the EU–US Data Privacy Framework, under which Microsoft Corporation is certified — or on appropriate contractual safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
You can ask us for more information about the safeguards that apply by contacting support@ancientfields.com.
10. How Long We Keep Your Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, regulatory, accounting or reporting requirements.
How long we retain information will depend on the nature of the information and why we hold it.
Cookie and consent records are retained so that we can demonstrate the choices you have made. Behavioural analytics data held by Microsoft Clarity is retained for the periods set out in Section 7.
If you unsubscribe from our marketing communications, we may retain limited information to record your preference and ensure that we do not send you marketing you have opted out of.
11. How We Protect Your Information
We take reasonable technical and organisational measures designed to protect your personal information against accidental loss, misuse, unauthorised access, alteration or disclosure.
However, no method of transmitting or storing information online can be guaranteed to be completely secure.
12. Your Privacy Rights
Under UK data protection law, you may have the right to:
- Ask for access to the personal information we hold about you
- Ask us to correct inaccurate or incomplete information
- Ask us to delete your personal information in certain circumstances
- Ask us to restrict how your information is used
- Object to certain uses of your information
- Request a copy or transfer of certain personal information
- Withdraw your consent at any time where we rely on consent
You can make a request by contacting us at support@ancientfields.com.
We may need to verify your identity before completing certain requests, and we will respond within one month of receiving your request.
You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's data protection regulator.
13. Cookie and Consent Choices
We use Pandectes GDPR Compliance to help manage consent choices on our website.
You can review or change your cookie choices at any time by clicking the cookie icon displayed in the corner of our website.
14. Children's Privacy
Our website and services are intended for adults and are not directed at children.
We do not knowingly collect personal information from children.
15. Third-Party Websites
Our website may contain links to websites, social media platforms or services operated by third parties.
Those organisations are responsible for their own privacy practices. We recommend reviewing their privacy information before providing them with personal information.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time as Ancient Fields develops, including when we introduce new products, services, website functionality or technology.
The latest version will always be published on our website, with the date of the most recent update shown at the top.
